Experienced Construction Administrative Assistant

Leeward Construction, Inc. is seeking an experienced Construction Administrative Assistant to provide high-level support to our Estimating and Project Management teams.

This is not an entry-level administrative position. We are looking for someone who brings experience, initiative, professionalism, and strong construction administrative skills to the position.

The successful candidate will be comfortable working alongside experienced Estimators and Project Managers and understand how to keep documentation, communication, deadlines, and administrative responsibilities moving efficiently.

This position requires someone who can anticipate needs, take ownership of responsibilities, follow through, and stay organized in a fast-paced construction environment.

Responsibilities

  • Provide high-level administrative support to Estimators and Project Managers
  • Assist with the preparation and organization of bids, proposals, contracts, subcontracts, purchase orders, and other project documentation
  • Maintain and organize estimating and project files
  • Track project documentation, deadlines, outstanding items, and required information
  • Assist with subcontractor and vendor documentation
  • Prepare professional correspondence, reports, spreadsheets, and project-related documents
  • Coordinate information between Estimating, Project Management, field personnel, subcontractors, vendors, customers, municipalities, and outside agencies
  • Assist with project startup, ongoing documentation, and project closeout
  • Maintain accurate electronic and physical project records
  • Follow up on outstanding documentation and action items
  • Anticipate the administrative needs of Estimators and Project Managers and take initiative to keep work moving
  • Provide additional project and administrative support as needed

 

Qualifications

  • Minimum of 3–5 years of professional administrative experience required
  • Construction industry experience strongly preferred
  • Experience directly supporting Project Managers, Estimators, Project Executives, or similar construction professionals strongly preferred
  • Previous experience as a Project Manager Assistant, Project Coordinator, Estimating Assistant, Construction Administrative Assistant, or similar position highly desirable
  • Heavy highway, civil, utility, and/or electrical construction experience is a plus
  • Familiarity with construction terminology, bidding, contracts, project documentation, and related processes preferred
  • Strong computer skills, including Microsoft Word, Excel, and Outlook
  • Excellent organizational and time-management skills
  • Exceptional attention to detail and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple projects, requests, and deadlines simultaneously
  • Ability to work independently, take initiative, and recognize what needs to be completed without constant direction
  • Professional and confident when communicating with employees, customers, subcontractors, vendors, and outside agencies
  • Pennsylvania Notary preferred
